Picnic Area Reservation Details & Guidelines

PARK PICNIC AREA RESERVATION GUIDELINES

The use rules and terms contained in this agreement are applicable in addition to the facility rules found in the LARMAC Community Guidelines. In the event of a conflict between the Community Guidelines and the terms of this agreement, the terms of this agreement shall control.

In the event of any violation of this agreement, LARMAC reserves the right to retain any security deposit. This forfeiture of the security deposit is in addition to further enforcement action by LARMAC in accordance with the enforcement process as described in the Community Guidelines. LARMAC’s ability to retain the security deposit is agreed to by the terms of this agreement, and the member reserving the facility agrees they do not have a right to a hearing regarding LARMAC’s ability to retain the security deposit.

Park picnic area reservations must be made on LaderaLife.com. Please refer to the Parks Facility Reservation Matrix on LaderaLife.com for a detailed description of each facility.

  1. With the exception of the picnic area at Cox Sports Park, the reservation of any LARMAC facilities is restricted to LARMAC residents for personal use only. Use of the picnic area other than by LARMAC residents is not permitted unless the resident is in good standing with LARMAC. The resident reserving the facility or sponsoring a use must be present during the event.
  2. The facilities may be reserved no more than 180 days in advance and cannot be reserved for more than one day in a consecutive seven-day period.
  3. The facilities may be reserved for up to 6 hours, including set up and clean up. All events will begin no earlier than 8:00 AM and must end no later than sunset, clean-up included. The maximum number of guests is 100 people.
  4. There is a cost to reserve the picnic area. Refer to the Fee and Fine Schedule for current fees and deposits. The reservation is for the picnic and BBQ area ONLY! It does not include the rest of the amenities at the facility.
  5. A deposit must be paid to LARMAC at the time the reservation is made to hold the reservation. Deposits will be refunded within 30 days following the rental unless there are to be deductions made by LARMAC. Monetary fines for violations of these rules and costs to repair damage may be deducted from the deposit.
  6. A reservation can be cancelled in writing up to two (2) weeks prior to the reservation date; both fee and deposit will be returned. If a reservation is cancelled less than two (2) weeks prior to the date, only the deposit will be returned.
  7. If a bounce house or vendor will be used at the event, please refer to the Park and Picnic Area Vendor Guidelines and Limitations.
  8. The LARMAC resident reserving the picnic area is responsible for all cleanup.
  9. Costs to remedy damages to the facility will be deducted from the security deposit and charged as an assessment if costs exceed the deposit.
  10. The use of adjacent sports fields is not included in the picnic area reservation. Scheduled sports activities (Youth Baseball, Soccer, Football) may be scheduled on the sports field. If requesting exclusive use of the sports fields, a separate permit must be requested from the Sports and Recreation Manager.
  11. Only LARMAC-provided BBQs are permitted. No other BBQs or fire pits are allowed. BBQ coals must be properly and safely disposed of after use.
  12. No music or amplification is allowed, including but not limited to PAs, bands, or disc jockeys.
  13. Residents that become 90 days or more delinquent in the payment of their LARMAC account will not be permitted to reserve and/or maintain a previous reservation until the complete account obligation is paid in full and kept current. Members with reservations who allow their LARMAC account to become delinquent will be given written notice that their reservations have been canceled due to their account status. Park and Picnic Area Vendor Guidelines and Limitations

  1. Bounce house, food, catering, and entertainment vendors are permitted with proof of proper insurance, deposit, and rental fee if applicable at parks listed in the Park Facility Reservation Matrix and pocket parks only. Please refer to the Fee and Fine Schedule for current fees and deposits. Proof of insurance must be submitted in accordance with the agreement prior to the use of the facility. FAILURE TO DO SO WILL RESULT IN THE FOREFEITURE OF THE DEPOSIT. Persons providing goods and/or services, whether paid or not, are considered vendors and subject to this rule.
  2. Food trucks are approved by LARMAC on a case-by-case basis. If you wish to utilize a food truck during your event, please contact the LARMAC Member Services Team at contact.larmac@laderalife.com for more information.
  3. A list of bounce house vendors compliant with LARMAC requirements is available on LaderaLife.com. It is the resident’s responsibility to contact the LARMAC office with the name of the selected bounce house vendor. For a list of additional compliant vendors, please contact LARMAC at contact.larmac@LaderaLife.com.
  4. Residents utilizing bounce houses must keep a copy of their rental agreement on hand during their event. Only one reservation may be made per park per day.
  5. Vendors may start no earlier than 8:00 a.m. and end no later than sunset. Residents must arrange for all pick-ups and deliveries to be made within the reserved time period.
  6. The park must be left in the same condition as found prior to the event. The cost to repair any damage to LARMAC Property (including but not limited to turf, plant material, furniture, sprinkler system, etc.) will be deducted from the deposit to the extent covered by the deposit. The cost of trash pick-up will also be deducted from the deposit. If the costs, expenses, and penalties resulting from the reservation of a park exceed the deposit, the member will be assessed a special assessment in the amount that exceeds the deposit. In the event of a conflict between any provision of the rental agreement and Community Guidelines, the provisions of the rental agreement shall prevail.
  7. Vendor deposits will be refunded within 30 days following the event, provided all policies have been adhered to. Fines, costs, and/or expenses incurred by LARMAC will be deducted from the deposit if guidelines are violated or damages occur.

Bounce House Limitations

  1. Only one bounce house is permitted
  2. No electrical outlet use is permitted - generators must be used
  3. The resident that reserves the park must monitor use and safety. LARMAC assumes no responsibility.

 

Indemnification

I acknowledge and agree, on behalf of myself, and my family, that the use of the LARMAC facilities, grounds and landscape areas located in Ladera Ranch, owned and operated by LARMAC, involves a potential risk of serious physical injury to a person undertaking these activities, or using these athletic and recreational facilities. I fully understand that activity upon LARMAC Property may by its very nature be hazardous and can lead to injury to me, my family, my guests, and/or damage to my property.

I understand that by signing this form, I, and my family, agree to assume the risks of potential injury, to which I am voluntarily exposing myself, my family, and my guests, by participating in athletic and recreational activities in the facilities of LARMAC.

On behalf of myself, my family, and my guests, I release from liability and hold LARMAC harmless for any damage, injury, and/or claim of any kind, whether to person or property as a result of such activities, and waive my claims that I, my family and/or my guests, may otherwise have or acquire against LARMAC its officers and directors, agents, or employees, the Releasees for any injury occurring to me, my family, or to my guests, whether to person or property, as a result of any use of LARMAC property or participation in athletic or recreational activities on the facilities and grounds of LARMAC and even the negligence of the Releasees, located at Ladera Ranch, California. Said release shall not extend to the sole negligence, sole willful misconduct, or sole gross negligence of the Releases.

I have read the Community Guidelines, the Reservation Guidelines, and this Reservation Liability Waiver. I accept the liability for damage to LARMAC property and for injury to persons admitted to the reserved park location. I understand that in the event I, my family, and/or guests violate any of the regulations, or if I provide inaccurate information on my application, LARMAC reserves the right to cancel my function at any time, charge any and all expenses incurred and deduct any fines and/or penalties incurred by this violation from my security.
